Ludhiana, October 18

All government officials, including those of the Education Department, have been asked by the state government to do their complete signatures in order to prevent any confusion.

Instructions have been given to secretaries, special secretaries, additional or joint secretaries, deputy secretaries, superintendents and officials in all other departments to get stamps of their complete name and designation.

The state government has directed that officials while signing should give their complete signature and date along with stamps of their name and designation. It has been mentioned that sometimes when complete name, designation and date are not mentioned, it becomes difficult to find out the official concerned when the need arises to check.

The “Manual of office procedure” mentions that assistants should sign their names in full on the left-hand side, while secretaries, deputy, under and assistant secretaries and officials of the PSS (private secretaries and superintendents) should sign on the right.

According to the manual name, designation and telephone number of the official, over whose signature the communication is to issued, should invariably be indicated on the draft.

A teacher on condition of anonymity said, “Such directions were the need of the hour as officials tend to get away with a scribble, which creates problems later.”

“But, having all details with clearly mentioned name and designation can help prevent potential problems such as forging of signature,” she added.
